Maintenance & service scheduling
How do operators decide service frequency across a mixed fleet?
Most distributors work to a service interval per asset type rather than per customer — commonly three-monthly sanitisation with an annual deep service, tightened for healthcare, education and food-handling sites. How do you stop planned services slipping past their due date?

How should reactive breakdowns be handled alongside planned work?
Reactive jobs are best injected into an existing route where geography allows, and only escalated to a dedicated visit when the SLA demands it. Recording fault codes and parts used against the asset also builds the history you need to decide whether a machine is worth another repair or should be swapped out.
What should a technician record on site?
At minimum: asset serial, work carried out, parts fitted, filter or sanitisation kit batch, meter or usage readings where applicable, and a customer signature. Capturing this on a mobile eForm at the point of work removes the paperwork backlog and gives you an auditable record per asset.
How do you track filters, parts and consumables used by engineers?
Treat van stock as a stock location. Consumables booked out against a job reduce the engineer's van holding and trigger replenishment, which prevents the common failure mode of an engineer arriving without the right filter and burning a second visit.
Sanitisation & compliance
What does a sanitisation cycle need to evidence?
A defensible record shows which asset was sanitised, when, by whom, the method or kit used, and the next due date. Where a customer operates under their own hygiene regime — healthcare and food production in particular — they will ask for that record on demand, often per site rather than per contract.
How do you prove compliance during a customer audit?
The practical test is whether you can produce a per-asset service and sanitisation history for a named site within minutes. Holding the record against the asset rather than against the visit means the trail survives contract changes, machine relocations and engineer turnover.
How do sanitisation cycles differ by equipment type?
See the equipment section below — bottled, POU and boilers have materially different service profiles, and treating them on one blanket interval either overservices your bottled fleet or underservices your plumbed-in estate.
Do you need to schedule water quality or filtration checks separately?
Filter change intervals are usually driven by throughput or elapsed time, whichever comes first, and rarely align neatly with the sanitisation cycle. Modelling them as separate schedules against the same asset lets you combine them into one visit when the dates converge, without forcing them to share an interval.
Where do industry standards fit in?
Many UK distributors are members of the TWHA (twha.co.uk) or Water Coolers Europe (watercoolerseurope.eu), and work to their codes of practice and hydration guidance, which cover areas such as hygiene, sanitisation and installation conduct. Not every operator is a member, and membership is voluntary, so treat published standards as a guide to good practice rather than a legal rule — your own contractual and customer-audit obligations still set the bar. Installation, collection & swaps
How should installations be scheduled against delivery routes?
Installations consume far more time on site than a delivery drop, so they need their own time allowance in route planning. Booking them as a job with a realistic duration — rather than an extra stop — stops one install from destroying the rest of the day's route.
What does a plumbed-in installation need that a bottled drop does not?
A POU install needs a site survey, mains access, a drain or waste route for boiling and chilled units, an electrical supply, and often a site contact with authority to approve the work. Capturing that at survey stage avoids the abortive visit that is the single most expensive failure in POU rollouts.
How do you manage collections and end-of-contract removals?
Collections are jobs, not deliveries, and they need to close the asset loop: machine returned to stock or quarantine, bottles and racks recovered, final invoice triggered, and the asset's service schedule stopped so it stops appearing on future due lists.
How do you handle machine swaps and upgrades?
A swap is a collection and an installation on one visit. Both sides need to be recorded so the outgoing asset's history closes at the site and the incoming asset inherits the correct service and sanitisation schedule from its install date.
How do you avoid abortive visits?
Most abortive visits come from access, not from the work itself — locked plant rooms, no site contact, or a customer who was never told the engineer was coming. Pre-call confirmation the day before, with an automated call or message log against the job, is the cheapest fix available to an operator.
Routes, dispatch & billing
How do you build efficient delivery and service routes?
Route quality comes from clustering by geography and service window, then balancing load against vehicle capacity — bottle weight matters as much as drop count. Recurring delivery patterns should generate automatically so planners spend their time on exceptions rather than rebuilding the same week.
How do rental, service and consumable charges get invoiced together?
Operators typically bill recurring rental on a fixed cycle, consumables on delivery, and chargeable service on completion. Driving all three from the same asset and job records means the invoice reconciles to work actually done, which is where most billing disputes originate.

How servicing differs by equipment type
Most distributor fleets are mixed. Each equipment type carries a different service profile, and a single blanket interval across all three either wastes visits or leaves gaps in your compliance record.
Bottled coolers
Service load is driven by delivery frequency and bottle handling rather than plumbing. Scheduling has to link consumption patterns to delivery rounds, track bottle and rack balances per site, and keep sanitisation on its own cycle independent of how often the site takes bottles. Empties recovery and deposit reconciliation belong to the same visit record.
POU / plumbed-in dispensers
No delivery cycle means the machine can go unvisited for months, so the service schedule is the only contact point — and the only thing protecting hygiene compliance. Filter changes are throughput-driven, installs need a survey and mains, drain and power access, and faults are more likely to involve plumbing than the dispenser itself.
Water boilers & taps
Boiling units add scale management, temperature and safety considerations, and often sit in staff kitchens with restricted access windows. Descaling intervals track water hardness by region rather than a national default, so the schedule should be set per site, and engineer skill or certification needs to be matched to the job.
